Privacy Policy

Effective date: 1 January 2025. This policy explains how we collect, use, and protect your personal information.

1. Who We Are

TradeFames Ltd ("TradeFames", "we", "us", "our") is a financial services company incorporated in England and Wales (Company No. 12345678), with its registered address at 123 Finance Street, London, EC2V 8RF. We are the data controller for personal information collected through our platform.

We take data protection seriously and are committed to complying with the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018, and applicable data protection laws in all jurisdictions in which we operate.

2. Information We Collect

We collect information you provide directly: name, date of birth, email address, phone number, residential address, government-issued ID documents, financial information, and trading preferences.

We collect information automatically when you use the platform: IP address, device identifiers, browser type, pages visited, time spent, and actions taken. We also collect information from third parties such as identity verification providers, fraud prevention services, and our regulated partners.

3. How We Use Your Information

We use your personal data to: (a) provide and administer your account and trading services; (b) verify your identity and comply with KYC/AML obligations; (c) process transactions and manage payments; (d) detect and prevent fraud, money laundering, and market abuse; (e) communicate with you about your account, platform updates, and relevant financial information; (f) improve our products and platform experience; (g) comply with legal and regulatory obligations.

4. Legal Basis for Processing

We process your data under the following legal bases: (a) Contract — processing necessary to provide our trading services to you; (b) Legal Obligation — processing required to meet AML, KYC, and regulatory reporting requirements; (c) Legitimate Interests — fraud prevention, security, and platform improvement; (d) Consent — marketing communications, where you have opted in.

You may withdraw consent for marketing at any time by updating your notification preferences or contacting us.

5. Data Sharing

We may share your data with: (a) identity verification providers (for KYC); (b) payment processors and banking partners; (c) fraud prevention and compliance services; (d) regulatory authorities and law enforcement when legally required; (e) professional advisers (lawyers, auditors, accountants) under confidentiality obligations; (f) prospective buyers in the event of a merger or acquisition, subject to confidentiality commitments.

We do not sell your personal data to third parties for marketing purposes.

6. International Transfers

TradeFames operates globally and your data may be transferred to and processed in countries outside the UK and EEA. Where transfers occur, we ensure adequate safeguards are in place, including Standard Contractual Clauses approved by the ICO, adequacy decisions, or equivalent protections.

For specific information about international transfers, contact our Data Protection Officer at dpo@tradefames.com.

7. Data Retention

We retain personal data for as long as necessary to provide our services and comply with legal obligations. Account data is generally retained for 7 years after account closure to meet financial regulation requirements. Transaction records may be retained for up to 10 years.

When data is no longer required, we securely delete or anonymise it in line with our data retention policy.

8. Your Rights

Under UK GDPR you have the right to: (a) access a copy of your personal data; (b) correct inaccurate data; (c) erasure ("right to be forgotten") where no legal basis for retention exists; (d) restrict processing in certain circumstances; (e) data portability for data processed by consent or contract; (f) object to processing based on legitimate interests; (g) not be subject to solely automated decisions with significant effects.

To exercise your rights, email privacy@tradefames.com. We will respond within 30 days. If you are unsatisfied, you may lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk.

9. Security

We implement industry-standard technical and organisational security measures including AES-256 encryption at rest and in transit, multi-factor authentication, regular penetration testing, 24/7 security monitoring, and access controls based on least privilege.

While we take every precaution, no system is completely secure. You are responsible for keeping your account credentials confidential.
